Convert More Leads with n8n: Typeform → Clearbit → CRM

End-to-end lead capture: Typeform webforms, Clearbit enrichment, AI scoring and smart routing into HubSpot or Salesforce using n8n.

Why a connected lead pipeline matters

Leads that sit idle or require manual enrichment slow sales velocity and create inconsistent follow-up. Integrating form capture, enrichment, scoring and CRM entry closes the loop: marketing collects intent data, enrichment fills firmographic gaps, AI scores prioritizes high-value prospects, and routing gets the right reps engaging immediately.

A streamlined pipeline reduces response time, improves lead quality, and increases conversion rates. This section frames the business problem — inconsistent lead data, slow handoffs and manual copy/paste — so the technical workflow that follows has clear, measurable goals.

High-level architecture and n8n workflow

The workflow begins with a Typeform webhook (Typeform Trigger node) that pushes each new submission into n8n. n8n orchestrates enrichment and decisioning using a combination of HTTP Request or dedicated Clearbit nodes, an AI scoring node (OpenAI or local model via HTTP), and conditional routing nodes. Final steps call HubSpot or Salesforce nodes to create or update leads, assign owners, and set lifecycle stages.

Key architectural considerations include credential management for Clearbit/OpenAI/HubSpot/Salesforce in n8n, rate-limit handling (throttling with Wait and Batch nodes), idempotency (deduplication via CRM lookups and unique request IDs), and error handling (Catch node + retry logic). This ensures reliable, secure, and auditable automation.

Node-by-node implementation details

Start with the Typeform Trigger node configured to receive submissions. Immediately use a Set node to normalize fields and build a canonical payload (email, company, job title, UTM parameters). Next, call Clearbit (HTTP Request or Clearbit node) to enrich company firmographics and person-level data — industry, employee range, location, LinkedIn, and technographic signals. Cache or store enrichment results to reduce redundant API calls.

Pass the enriched payload to an AI scoring node (OpenAI or custom model). Use a Function or Function Item node to prepare a scoring prompt: include enrichment fields and business rules (target industry, ARR estimate, job seniority). The AI returns a numeric score and a brief rationale. Then use a Switch node to map score bands to actions: high-score -> immediate SDR assignment; medium-score -> marketing nurture; low-score -> automated email and data capture for later re-engagement.

CRM integration, deduplication and routing rules

Before creating records, query HubSpot or Salesforce (HubSpot node / Salesforce node) to check for existing contacts or accounts using email and company domain. If a match exists, update the contact with new enrichment and activity; if not, create both contact and account. Use Merge node patterns to combine Typeform answers, Clearbit enrichments, and AI scoring into structured CRM fields, including custom properties for score and enrichment metadata.

Implement routing logic with a combination of Switch nodes and Lookups: territory rules (country, state, ARR band), owner round-robin (tracked in a simple datastore like Google Sheets or Airtable), and escalation for high-value inbound leads (notify via Slack/Email + create high-priority task in CRM). Add a Catch node that logs failed operations to a persistent store for retries and alerts to an ops channel.

Business impact: before vs after and ROI

Before automation, teams manually copy form entries into CRMs, request enrichment from separate tools, and decide assignment in spreadsheets. That process creates delays (often hours or days), lost context, and inconsistent follow-up — typical consequences are sub-24% lead-to-opportunity rates and slow pipeline growth. Sales reps spend time on data entry instead of selling.

After implementing the n8n workflow, response times drop to minutes, enrichment provides immediate account context, AI scoring surfaces top-priority leads, and routing ensures the right rep engages immediately. Expected ROI includes reduced lead processing time (e.g., saving 5–10 minutes per lead), improved conversion (for example a 10–30% lift in MQL→SQL conversion), and lower cost per converted lead due to faster qualification. The automation also scales with volume at predictable incremental API costs rather than linear headcount increases.
